Refund & Expiration Policy

Please review our subscription expiration terms, refund policy exceptions, and database records retention schedules.

1. Subscription Expiration & No Auto-Renewal

We do not believe in hidden fees or unwanted recurring charges. Neyodesk operates on a manual renewal basis; there is no auto-subscription or auto-renewal.

When you purchase a monthly or annual subscription plan for your shop, it is a one-time transaction for that specific duration. At the end of your paid billing period, your subscription will simply expire naturally.

Because we do not auto-bill, there is no need (or option) to cancel a subscription, and you will never be charged automatically for a renewal. To continue using the dashboard features after expiration, you must explicitly choose to manually renew your subscription.

2. General No-Refund Policy

Because Neyodesk is a cloud-based software-as-a-service (SaaS) platform that provisions dedicated database nodes and instant digital access immediately upon purchase, we do not offer general refunds.

All payments - including monthly subscription fees, annual subscription plans, additional technician seat licenses, and custom brand configurations - are final and non-refundable.

💡
Note: We recommend exploring our free trial to ensure Neyodesk fits your repair business workflow before committing to a paid tier.

3. Billing Errors & Duplicate Transaction Exceptions

We recognize that mistakes can happen. We will review and issue refunds only in the following specific circumstances:

  • Duplicate Charges: If our payment processor processes two identical subscription transactions for the same account workspace in error.
  • Billing System Discrepancies: If a technical error on our billing servers results in your account being overcharged or billed incorrectly relative to your chosen subscription tier.

To file a claim for a duplicate charge or billing error, you must email info@neyodesk.com within 14 calendar days of the transaction date. Please include your invoice number, workspace ID, and transaction details. Claims verified by our support staff will be refunded to your original payment card within 5 to 10 business days.

4. Data Retention Post-Expiration

When your subscription expires at the end of your billing cycle, your workspace status is changed to "Inactive."

Your data may be retained for a limited period per our Privacy Policy. This retention period is designed to protect you from permanent data loss and allow you to reactivate your subscription and recover your workshop records (technician roles, ticket logs, customer portal comments, and device checklists) without starting over.

Following this grace period, all database tables, uploaded image proofs, and customer archives associated with your workspace will be permanently deleted from our primary storage arrays and backups in accordance with GDPR and data safety standards.

5. WhatsApp Business API Messaging Charges

Neyodesk integrates with the WhatsApp Business API (provided by Meta) to deliver automated repair status notifications to your customers. This messaging feature is powered entirely by Meta's cloud API infrastructure.

WhatsApp message costs are billed directly by Meta to you - not by Neyodesk. When you connect your own WhatsApp Business number through the Meta Business Manager, you accept Meta's usage-based pricing terms separately and independently of your Neyodesk subscription.

Neyodesk does not receive, process, or charge any fees for WhatsApp message delivery. Any billing queries related to WhatsApp API conversations must be directed to Meta Business Support.
